Trip Operations Manager

Position Summary:

The Trip Operations Manager is responsible for the execution of the trip experience by providing meticulous attention to all trip details and by delivering superior customer service. The Trip Operations Manager creates personalized travel experiences by establishing and maintaining meaningful relationships with clients and industry professionals.

Deliverables:

  • Adheres to the BRT Values and Company Culture
  • Keeps organized records of all client and vendor communications, including contracts and deadlines
  • Confirms, enters, and keeps current – Trip details in Salesforce per contracting email, contracted itinerary and pricing proposal
  • Books and contracts vendors per itinerary
  • Keeps organized records of all client and vendor communications, including contracts and deadlines
  • Prioritizes contracts for performances and clinicians, including venues, per itinerary
  • Collaborates with Travel Consultant when current inclusions are unavailable, including recommending venues, menus, amenities and/or activities to meet or exceed the client’s needs
  • Records and reconciles all trip expenditures in Salesforce, including comparing actual costs to the CPQ Cost of Goods
  • Manages the collection and reconciliation of passenger lists (room, air, dietary, etc.) from group leaders
  • Adheres to the Trip Operations Manager responsibilities in the BRTP Procedure Team Process document  
  • Responsible for keeping track of all incoming money for the trip (bulk credit money, deposits, incremental and final payments, etc.)
  • Works with the Business Operations Coordinator to facilitate the mailings of all BRT incentives
  • Adheres the Tour Director Manual “How To” document
  • Prepares the Tour Director on all trip details to help them facilitate a meaningful trip
  • On Call and available after hours to assist with on tour challenges
  • Works with fellow BRT Team members on special projects as needed
  • Works on Summer Projects for the advancement of BRT’s knowledge, including data accuracy in Salesforce
  • Provides superior customer service while responding to parents and group leaders through our Chat and HelpScout channels
  • Attends Operations Team, Bi-Annual Company, and consistent BRT Team (Operations, Sales, and BRTP) meetings as scheduled
  • Attends industry trade shows as needed
  • Participates in ongoing vendor and BRT process training as needed

Required Knowledge, Skills and Abilities:

  • Exceptional customer service and impeccable organizational skills and attention to detail
  • Strong administrative skills to simultaneously handle multiple trips and the budgets, tasks and responsibilities needed for each
  • A positive, anything-is-possible attitude with clients; willing to go the extra mile to ensure their needs are exceeded
  • Willingness to work beyond normal business hours when necessary
  • Computer proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Salesforce.
  • Fantastic interpersonal and communication skills with clients, vendors and fellow staff members
  • High standards for integrity, ethics, and commitment to the goals and values of Bob Rogers Travel

 

Base salary range for this position will be between $45,000 – $55,000. Offered salary will be determined by the applicant’s education, experience, skills, and abilities.
