Top Six Methods to Keep Track of Your Students When Traveling

Keeping track of a group of students when traveling can be a daunting task. Our expert tour directors are here to help, and have compiled some best practices to put your mind at ease.

  • Assign chaperones to be responsible for small groups of students. It’s more manageable to have a few people responsible for 8-10 people each, than to have one person responsible for 80.
  • If you are traveling with a younger group, like a middle school, you may want to keep them in small groups that are with a chaperone at all times.
  • Always perform a head count on the motor coach, and at any other whole group gatherings. This will ensure everyone is accounted for before the group leaves.
  • Give each student a pocket-sized sheet with contact numbers for chaperones and the tour group leader, which they can use should they get lost or disconnected from the group.
  • For younger groups, BRT can provide lanyards with a contact card. This gives the student instructions to follow if they become separated from the group, and includes a 24 hour toll-free number which they can call to notify BRT that they need assistance. These also provide an easy visual reference when you are trying to distinguish members of your group from other students at a museum or other attraction.
  • When you spend the day at a theme park, plan to have meeting times throughout the day when your students can briefly check in. Your BRT tour director will know the most convenient places for these meetings to take place.
