Your trip’s “Cast of Characters”

Travel Notes

Orchestrating an incredible student travel experience isn’t a one-man show. But if you’ve never worked with us, you might not know about the behind the scenes players that dream up, plan and perfect over 600 student trips each year. So today, we want to introduce you to our “Cast of Characters” – each one is a crucial part of our-tried-and-true trip planning process.
Travel Consultant
Our travel consultants are some of our most visible team members – at least in the beginning stages of trip planning. These folks work closely with our clients, from that initial point of contact, to the sales agreement, through itinerary development. They don’t just sell the trip and hand our clients off to other team members – quite the opposite. Your travel consultant is your main point of contact and advocate throughout the process (and usually for years and trips to come!). If changes or challenges arise during the trip itself, your travel consultant is the one to troubleshoot and find solutions.
Travel Coordinator
Once the itinerary is developed, some serious planning magic gets underway. Our travel coordinators bring itineraries to life, booking transportation, hotels, activities and clinics and managing payments for each piece of the travel puzzle. These team members are truly our secret superpower! As logistics evolve and change throughout the planning process, our travel coordinators handle it all, giving our clients a seamless, watertight plan for an amazing student experience.
Quality Review Team
We leave no stone left unturned when it comes to anticipating possible travel challenges, mistakes or issues. Our quality review team goes over each trip with a fine-tooth comb, checking and rechecking travel logistics to ensure that everything is perfectly in place before a single student boards the bus. Our team of QR detectives reviews each one of our trips three separate times – many of these reviews are even conducted by our own VP of Business Management, Tami Rogers.
Tour Director
Your tour director is your boots-on-the-ground, lead-the-way, stay-on-schedule and solve-the-problems trip captain. He or she is on the trip with you, making sure every aspect of the experience runs smoothly. While on the road, your tour director is constantly in touch with the office, so if changes are needed or challenges arise, they have access to the full trip team.
IPS Coordinator
Our Individual Payment System (IPS for short) makes collecting payments from students and their families simple. We have a dedicated team responsible for keeping this system running smoothly, implementing updates and handling phone calls and questions from student travelers and their families. While our clients very rarely interact with these payment experts, the behind the scenes work they do is integral to each successful trip. Tune in to our next post for the full scoop on how this system works!
Our team works closely with our clients to give their students the opportunity to see the world. Our ultimate goal for each trip is that directors connect with their students and focus solely on the performances, clinics and experiences – while our experts worry about the rest.
