Paying for travel should be easy

You have a trip on the calendar, hooray! Choosing a destination, dreaming up an itinerary and counting down the days are the parts of a student performance travel experience that everyone loves. Collecting checks, organizing spreadsheets and chasing down late payments just aren’t what travel dreams are made of.

We work with music educators all over the country and have found that nearly everyone worries about how they’re going to manage the trip money. These concerns are often three-fold:

Accountability

Handling thousands of dollars of trip funds is no small task. Most directors we work with are concerned about how to securely manage all of the payments and fundraising dollars so that every penny is accounted for.

Organization

How do you keep track of multiple payments for each student who will be joining you on tour? How do you keep tabs on who has paid and who hasn’t? How do you track down late payments?  

Timeliness

Your trip will have a payment schedule that includes an initial deposit and a set number of pre-trip payments. Making sure that every student meets each payment deadline can feel daunting.

When our clients share these concerns with us, we offer a simple solution: our Individual Payment System (IPS). We designed this system to make paying for the trip as easy as possible, for both directors and students’ families, as everyone has access to the system. Families can login to see how much they owe for their student, enter payment information securely and receive notifications for each upcoming payment. Directors no longer have to physically handle trip funds – they too can login for a status report of trip payments, submit fundraising money or email the entire group with updates. Our system takes the hassle out of travel finances for everyone involved, allowing our clients to focus on the music and their students.
